Office Manager

Your mission

The Office Manager’s primary role is to manage all administrative tasks related to the studio operations, finances and human resources. They optimize the company’s policies and procedures and when necessary, find and implement new ones. They are the studio team’s main point of contact  in regards to everything administrative. It is a key position in a fast-growing studio whose duties imply both management and clerical tasks. It is also a pivotal role that can grow in accordance to the candidate’s abilities. The Office Manager reports directly to the General Manager/Financial Officer.

 
 

Functions and Responsabilities
  • Work collaboratively with the GM/Financial Officer to optimize the administrative channels and workflow to support the studio
  • Manage and execute all administrative tasks related to the studio’s operations, human resources and financials, including, but not limited to
    • Suppliers agreement renewal
    • Staff hours
    • Payroll and vacations
    • Expense reports
    • Accounts receivable and payable
    • Maintenance schedules
    • Studio list updates
    • Management of office supplies inventory
  • Follow-up with employees, freelancers, suppliers, and directors of the studio, when needed
  • Any other related tasks, for example: shipping coordination, coordination of various employee engagement activities, or other studio clerical tasks

 
 

Job Requirements
  • 2 to 5 years experience in a management position within a similar role in a small business environment
  • Professional proficiency in French and English, both oral and written
  • Mastery of the MS Office Suite (Word, Excel), the Mac ecosystem as well as Google Suite (Gmail, Google Calendar, Drive); Basic knowledge of Quickbooks is an asset
  • Proven multi-tasking skills

Specific Work Conditions
  • Full time, Monday to Friday
